The installed base gets its own weekly call. Every renewal due is placed in one of four categories, and the call says how much ARR stays and how much it grows to.

Renewal and expansion forecast

RENEWAL CATEGORIES · set per period on every renewal due by its owner, checked by the manager
Committed
signed, or on auto-renew with no risk signals.
Likely
healthy, renewal conversation under way, no open commercial issue.
At risk
health declining, champion or sponsor gone, budget cut, or a competitor in evaluation. Opens the save play.
Churn notice
the customer has said it will not renew. Contraction notices are recorded with the amount.
HOW IT DIFFERS FROM THE NEW BUSINESS CALL
The base is known
every dollar due is already on a subscription, so the question is how much of it leaves, not how much can be found.
Bottom-up, checked against history
built account by account per CSM, then checked against cohort history (how past renewal groups actually renewed) instead of a capacity model.
Expansion on its own view
forecast with the new business categories (Commit, Best case, Pipeline, Omit) on its own pipeline view, then added to the GRR call to make NRR.
owner · Customer Success and Account Management own the categories; RevOps runs the weekly call next to the new business call. measured by · GRR and NRR forecast accuracy, at-risk ARR saved
Terms: ARR, annual recurring revenue. GRR, gross revenue retention: ARR kept from the starting cohort, excluding expansion. NRR, net revenue retention: the same ratio with expansion added back; price uplift at renewal counts as expansion. CSM, customer success manager. Who owns the renewal varies: Account Management in enterprise, often the CSM in mid-market, auto-renew in SMB.

How to read this

  • Every subscription gets a renewal opportunity at term minus 120 days, so nothing due in the period is missing from the call.
  • The category comes from the health and usage review, not from the renewal conversation alone. A customer can sound friendly while usage falls.
  • At risk is the category that drives action: it opens a save play with an executive sponsor, a reset success plan and commercial options. ARR saved from that category is one of the two measures.
  • Expansion is not mixed into the renewal categories. It is forecast like new business on its own pipeline view and added on top for NRR.
  • The accuracy review feeds back into the health signals and category rules. If renewals keep moving to At risk late, the health score is missing a signal.
